Switch from another CRM

Export your leads from Follow Up Boss, Lofty, kvCORE / BoldTrail or Sierra Interactive and bring everything over, with nothing in the file left behind.

Updated

Moving from another real estate CRM takes two steps: export your leads from it as a CSV file, then import that file here. The importer knows the export columns of Follow Up Boss, Lofty, kvCORE / BoldTrail and Sierra Interactive, and keeps every column it can't place in a note on each lead, so nothing in the file is lost.

Step 1: export your leads

Each CRM decides who may export. If you don't see the option, ask the account owner or an admin to export for you, or to give you the permission.

Follow Up Boss

  1. 1. Open People and pick All People (or filter to the leads you want).
  2. 2. Tick the box next to the Name column, then Select All.
  3. 3. Press Export (the down-arrow icon).
  4. 4. Tick Export all columns, then confirm. The CSV downloads right away.

Without Export all columns, the file only has the columns on your People screen and each lead's first phone, email and address. Account owners can export; other users need the Can Export permission from the owner.

Lofty (formerly Chime)

  1. 1. Open People. To export only some leads, select them first.
  2. 2. Press the … next to Add Lead and pick Lead Export, then Export.
  3. 3. Lofty emails you a link to the file, and it also shows under your notifications. It can take a few minutes; check your spam folder too.

You need the Export Lead permission. Agents can export the leads they own.

kvCORE / BoldTrail

  1. 1. Open Contacts (called Smart CRM in older accounts). Filter if you only want some, for example by assigned agent.
  2. 2. Select the contacts, then press More Actions › Export Contacts.
  3. 3. Check the email address and press Export.
  4. 4. The file arrives by email with a download link. Up to about 10,000 leads usually take an hour or less; tens of thousands can take a few hours.

Only the contacts' owner can export them; admins can also export company and team leads.

Sierra Interactive

  1. 1. Press the gear icon at the top, then Lead Export.
  2. 2. Under Lead Status, Lead Tags and Custom Fields, pick All (each section needs a choice).
  3. 3. Press Continue. When asked which fields to export, tick every one, so nothing is left behind.
  4. 4. Press Export and pick .csv.
  5. 5. When it's ready, go back to the gear icon › Lead Export and click the file's name to download it.

Managers can export every lead. Agents can export their own only if the account allows it.

Step 2: import the file

  1. 1. Open Leads and press Import CSV. You can also start from Moving from another CRM? on Getting started, which picks your CRM for you.
  2. 2. Pick your CRM under Where are your leads coming from? and drop the file. Picked Any CSV? If the file looks like one of these CRMs' exports, the importer offers to use its matching.
  3. 3. Check the columns. Columns kept for the note are marked Keep in the imported note; change any of them if you'd rather put it somewhere else, like one of your custom fields.
  4. 4. Choose what happens to leads already here and who owns the new ones, then press Preview the import.
  5. 5. In the preview, place the stages and people your workspace doesn't have, look over the first rows, then add the leads.

Import your leads from a spreadsheet explains every choice in detail.

What comes over

  • Names, emails and phones, the main ones first and the others kept as other emails and phones.
  • Mailing address, and the property they're buying or selling as the property address.
  • Stage: stages named like yours land there. For the others, pick a stage, or Keep as a tag, which starts the deal in your default stage and tags the lead with the old stage's name. Keep them all as tags does every one at once.
  • Owner: matched to your teammates by email first, then by name. Someone who isn't on your team goes to the default owner, or to nobody if you picked Nobody (unassigned).
  • Tags, including lead types like Buyer or Seller and hashtags.
  • Source, notes and background, as a note on the lead's timeline.
  • Date added: the date each lead was first added in your old CRM, so old leads don't look new.
  • Do not contact: a lead marked do not contact (or with a Do Not Contact or Blocked status) comes in with texts and emails off. A phone marked do not call (like Lofty's Phone DNC Status or Sierra's Phone Status) turns only texts off, and an unsubscribe only emails. This applies to leads you already have here too, even with Skip them.
  • Everything else with a value, like price range, timeframe, lender or relationships, goes in one note on the lead that starts "Imported from" and your CRM's name. So does a value that can't be read, like a birthday in an odd format, and tags past 20 a lead.

Your old CRM's texts, emails and calls don't come over as conversations. Follow Up Boss puts each lead's recent ones in its file, and they're kept in the imported note.

Leads you already have here

A row matches a lead by email first, then by phone. Skip them leaves those leads as they are, except that a do-not-contact in the file still turns their texts or emails off; Fill in empty fields or Overwrite with the file updates them. Importing the same file twice never adds anyone, or any note, twice.

Tip: Not sure it's right? Import, look at a few leads, and use Undo import in Past imports within 24 hours if you want to change a choice and try again.

Imported leads never start your automations or campaigns. On the Starter plan, an import stops adding at 2,500 leads and tells you how many rows it skipped.
