Move deals through your pipeline

Drag deals between stages, close them as won or lost, change your stages and win rates, and run more than one pipeline.

Updated

Pipeline shows every open deal as a card in the column for its stage. Moving cards along keeps your forecast honest and tells your team where each lead stands.

Read the board

  • The title is the pipeline's name. With more than one pipeline, click it to switch boards: each pipeline shows its open deals and the default one is marked. The board opens on the last one you looked at.
  • Across the top: Open pipeline (the value of every open deal), Weighted forecast (each deal's value times its win chance: its own if set, else its stage's win rate) and what you've won this month.
  • Board | Table at the top switches to a sortable deal table with filters, a monthly forecast strip and CSV export.
  • Each column shows its stage, how many deals are in it, their value and the stage's win rate.
  • Each card shows the lead, the deal value and the next step: their next task, or how long a new lead has waited for a first reply. With nothing planned, Add a next step creates a task. Under that, how many days the deal has sat in its stage (amber once it's past that stage's stuck after days, red after a month), its heat and its owner.

Move a deal

  1. 1. Drag the card to another column.
  2. 2. A note confirms the move, with Undo.

You can also move a deal from the lead's page: click any stage in the bar under their name.

Win or lose a deal

While you drag a card, two targets rise at the bottom of the screen: won and lost, named for your industry (Closed and Dead in real estate).

  • Drop on won to close it. Confetti, and the value is added to this month's total.
  • Drop on lost and you're asked why: Went with someone else, Price or budget, Bad timing, Stopped responding or Not a fit, plus a note if you like. The reason is saved on the lead's timeline, so patterns show up later. Keep it open cancels.

On the lead's page the same two buttons sit beside the stage bar, and Reopen deal brings a closed deal back. A deal with a closing tracker closes or falls through with it.

Find what needs a push

  • Needs attention narrows the board to deals where nobody has reached out yet, the follow-up is overdue, the lead has gone quiet for a week with nothing scheduled, or the deal has been in its stage longer than that stage's stuck after days (set in Pipeline settings; 14 unless changed) with nothing scheduled. The count beside it tells you how many.
  • The people menu shows Everyone, My deals, Unassigned or one teammate. Agents only see their own deals, so they don't have this menu.
  • Search deals finds a card by lead or deal name.
  • Clear removes all three.

Act from a card

Hover a card for quick actions: call, text, email, and a ... menu with expected close, win chance, deal details and add a task. Call uses the in-app dialer and logs the call. Text and email open a small composer that sends from your business number and address; the message lands in the lead's Inbox thread and on their timeline.

Add a deal straight into a stage

The + at the top of a column opens New lead with that stage already picked.

Change your stages

Open Pipeline settings from the menu on the pipeline's title, from All stages… in any column's ... menu, or by searching for it with Ctrl K. Changes save as you go. Owners, admins and anyone whose custom role includes settings can change stages; everyone else sees them read-only.

  • Rename: click a stage's name, type, and press Enter. Esc puts it back.
  • Win rate: the percent beside each stage, from 0 to 100 (the arrow keys step by 5). It's how likely a deal in that stage is to close. The weighted forecast, Reports and each deal's heat use it.
  • Reorder: drag a stage by its handle, or use Move up and Move down in its ... menu.
  • Add: Add a stage at the bottom of the list, or Add a stage after in a stage's menu. A pipeline has 2 to 12 stages.
  • Starts closing tracker: with this switch on, a deal that enters the stage gets its closing tracker: key dates with reminders, a checklist and commission. Under Contract has it on to start with.

Renames, win rates and new orders come with Undo. On the board, a column's ... menu does the same in place: Rename, Win rate, Add a stage after, Move left, Move right and Delete stage….

Won and lost (Closed and Dead in real estate) aren't stages: they're how a deal ends.

Delete a stage

Delete stage… first shows what uses the stage: its open and closed deals, forms and booking pages that start new leads there, automations that start from it or move leads to it, campaign steps, and saved lead views that filter on it. Pick another stage in the same pipeline under Move them to and press Move and delete: everything moves there in one go. Open deals start their time in stage again, won and lost deals keep their outcome, and each lead's history keeps the old stage name. A stage nothing uses is deleted once you confirm.

Run more than one pipeline

A second pipeline is a separate board with its own stages, say for sellers, rentals or referrals. How many pipelines you can have depends on your plan: Billing shows your plan's limit and how many you use on the Usage card.

  1. 1. Open the menu on the pipeline's title and pick New pipeline…, or press New pipeline in Pipeline settings.
  2. 2. Give it a name and, under Start with, pick Industry stages, a copy of one of your pipelines (its stages and win rates; its deals stay where they are) or Blank (three plain stages to rename and add to).
  3. 3. Press Create pipeline. Its board opens.

In Pipeline settings, click a pipeline to show it on the board and edit its stages. Drag pipelines into the order the title menu lists them, and rename or delete one from its ... menu. Deleting a pipeline with deals asks which pipeline they Move them to, and stage by stage where each stage's deals land. Forms, booking pages, automations and campaigns that point at its stages move the same way. Your last pipeline can't be deleted.

The default pipeline

New leads go to the default pipeline's first stage: leads you add, imports, and leads from texts and calls, unless you pick another stage, or a form or booking page names one in its settings. The star beside a pipeline in Pipeline settings (Make default) changes it. To delete the default pipeline, make another one the default first.

Move a deal to another pipeline

On the lead's page, press ... beside Book and pick Move to another pipeline…, or click the pipeline's name above the stage bar. Pick the Pipeline and the Stage, then press Move deal. The deal keeps its value, owner, tasks and history, the move is on the lead's timeline, and Undo puts it back where it was.

Tip: On the dashboard and Reports, the forecast and the funnel follow one pipeline at a time. With more than one, pick which from the small menu on them.
