Add and organize leads

Add leads by hand or let them come in on their own, then find the right ones with views, filters and saved views.

Updated

Leads is everyone in your CRM. Each lead has a page with their deal, every call, text, email and note, their tasks, appointments and client requests. This article covers getting leads in and finding the ones that need you.

Add a lead

  1. 1. Press New lead in the Leads header, pick New lead from + New in the top bar, or press N.
  2. 2. Fill in what you have. Only a name, email or phone is required.
  3. 3. Add a Source (it feeds your source reports), Tags, the Pipeline stage and Deal value, and who it's Assigned to. The stage starts on your default pipeline's first stage; with more than one pipeline, each pipeline's stages are listed under its name. Pick Don't add to pipeline for a contact who isn't a deal.
  4. 4. Press Add lead.

If the email or phone already belongs to a lead, you get Open that lead instead of a duplicate.

Leads also arrive on their own: from your lead sources (Zillow, Realtor.com and other lead emails, Facebook and Google ads, your website), your forms and booking pages, your client request form, and when an unknown number texts or calls your business number.

Views

The views menu at the left of the toolbar has a count beside each:

  • All leads, My leads and New this week.
  • Uncontacted: nobody has called, texted, emailed or met them yet. The header shows how many are waiting on a first reply.
  • Hot: open deals worked in the last two weeks, ranked by heat from 0 to 100. Heat blends how close the stage is to closing, how recently and how often you've been in touch, whether the deal moved this week, and its size. On a lead's page, hover the heat chip to see the points behind it.
  • Ready (named for your industry, like Ready to move): their qualification answers meet the bar, for example a timeline of ASAP or 1–3 months and financing that's pre-approved or cash.
  • Going cold: open deals with no activity for a week.
  • Unassigned: leads with no owner.

Search, filter and sort

  • Search by name, email or phone.
  • Filter by Stage, Owner, Tag & source or Qualification answers, and by your own custom fields under Fields. With more than one pipeline, Stage also lets you pick a whole pipeline, and lists each pipeline's stages under its name. Tag & source lists your lead sources even before their first lead. Active filters show as chips under the toolbar; Clear all removes them.
  • Custom fields marked Show on the Leads list are columns after Tags.
  • Sort by Recently active, Newest first or Name A–Z.
  • Press Save view to keep a set of filters. Saved views appear under Saved views in the views menu.

Work the list

  • Hover a name for a quick look with one-click call, text and email. Text and Email, there and on each row, open a small composer that sends from your business number and address, so the message lands in the lead's inbox thread and on their timeline.
  • Click a row's stage, owner or deal value to change it in place. Values take 25000, 25k or 1.2m. Every change offers Undo. A deal outside your default pipeline shows its pipeline before the stage, like "Sellers › Listed".
  • Tick rows, or press X, and a bar appears at the bottom: Assign, Stage, Tag, Campaign, Export and Delete.
  • Export in the header downloads the current view as a CSV.

On a lead's page

The top shows their stage, heat and contact details, with Call, Task and Book. Under it, the brief suggests a Next step, and the box below logs a Note, Call, Email, Text or Meeting. Fill in Qualification as you learn their budget and timeline. Edit their details from the Details card with Edit, and your custom fields on the More details card under it. The Files card keeps their contracts, disclosures and photos (Keep files on leads and deals). Once their deal is under contract, its closing tracker sits under their name.

Tip: Agents see only their own leads. Managers see their team's leads and unassigned ones. Exporting and deleting are for owners, admins and managers.
