Bring in leads from Zillow, Realtor.com and ads

Connect the places your leads come from, so new ones arrive on their own, are matched to people you already have, go to the right person and can get a text in seconds.

Updated

Lead sources bring leads in on their own: lead emails from Zillow, Realtor.com, Homes.com, Redfin and any other site, Facebook and Instagram lead ads, Google Ads lead forms, and your website or a Zapier flow. It's in Settings in the sidebar. Owners and admins set sources up; everyone else can look.

What happens to each lead

  1. 1. We read the lead: their name, email, phone, the property they asked about and their message.
  2. 2. We check whether you already have them, by email and then by phone. Someone you already have isn't added twice: their timeline gets an Inquired again entry with the source and their message, and their owner is notified.
  3. 3. A new lead gets a deal in the source's Start stage, an owner (see Routing below), the source's Tags, and its Source on new leads as their source, so Leads and Reports show where they came from.
  4. 4. Your automations for new leads run, and the instant text goes out if you turned it on.

A lead needs a name and an email or phone. Anything else that came with it is kept on the lead's timeline.

Add a source

  1. 1. Open Lead sources and press Add a source. With no sources yet, the page offers the four most common ones.
  2. 2. Pick where your leads come from: Zillow, Realtor.com, Homes.com, Redfin or Other lead emails; Facebook lead ads or Google Ads lead forms; or Website or Zapier.
  3. 3. The source opens with its Setup steps. Follow them, then press Send a test lead.

Each source is a card with its address or URL, an on/off switch, where its leads start, who gets them, whether the instant text is on, and its numbers for the last 30 days. The numbers along the top add them up: new leads, how many came back, and anything that Needs attention.

Lead emails: Zillow, Realtor.com, Homes.com, Redfin and others

Each email source has its own address (Your lead address). Where Zillow or the other site sends you new-lead emails, add this address, or forward those emails to it with a filter in your inbox. We read the lead out of each email, including forwarded ones.

Turning on forwarding in Gmail or Outlook sends a confirmation email to the address first. It shows up in the source's Log with the code, and Confirm forwarding opens the link.

Tip: While lead emails are in practice mode, emails to the address can't arrive. Paste a lead email into See what we'd read to check what we pick out of it.

Facebook lead ads

Press Connect Facebook: you sign in with Facebook in a small window and allow access to your page's leads (nothing is posted). Choose your page, then its lead forms, or all of them. When someone sends one of those forms on Facebook or Instagram, they land in your leads. If your workspace can't connect Facebook yet, the source says so: ask us in a chat and we'll set it up with you.

The source shows a Webhook URL and a key. In Google Ads, open the lead form you use on your ads, choose the webhook option for delivering leads, and paste both. Google's test data shows up in the Log as a test, and nothing is added to your leads.

Your website or Zapier

The source shows a Webhook URL. Your website, a page builder or a Zap sends a POST to it, as JSON or ordinary form fields. Names match loosely: First Name, firstName and first_name all work, as do email, phone, message and address. With Zapier, add a Webhooks by Zapier action and choose POST. Under Fields with other names you can send anything else to one of your own custom fields. Require signed requests adds a secret, so a leaked URL alone isn't enough.

Routing

  • Start stage: where each new lead's deal starts.
  • Who gets them: One person, Take turns between the people you pick, or Nobody (leave unassigned). Leads who come back keep the owner they have.
  • Tags added to every new lead from the source.

Instant reply

On the Instant reply tab, turn on Text new leads right away and write the text, with fill-ins like {first_name} and {property_address}. It goes from your business number the moment a new lead arrives. Leads who come back, or who opted out of texts, don't get it, and a lead missing something the text fills in is skipped rather than sent a text with a gap. Leave out the word "cancel": phone carriers read it as a request to stop texts.

The instant reply is an automation named after the source, like "Instant reply: Zillow". You'll see it on Automations too.

The log

The Log tab lists every delivery the moment it arrives: New lead, Came back, Failed (with the reason and what we read) or Skipped (a repeat delivery, a test, or a source that was off). Each one links to its lead.

Test, change or remove a source

  • Send a test lead runs a sample lead named "Test Lead" through the source, so you can see the routing and the instant text at work. It's tagged "test lead", and Delete the test lead removes it.
  • Get a new address (or URL) stops the old one working right away: put the new one wherever you used the old one.
  • The switch on the card turns a source off; nothing new comes in until you turn it back on.
  • Delete this source removes it. The leads it brought in stay.

Tip: Leads from a source carry its name as their Source, so you can filter by it on Leads (under Tag & source) and see it under Lead sources on Reports.
