Keep files on leads and deals
Attach contracts, disclosures, photos and documents to a lead, its closing tracker or a checklist step, and find them again in seconds.
Updated
Every lead has a Files card for the paperwork that goes with them: the purchase agreement, disclosures, inspection reports, photos of the property, a copy of an ID. Files are kept with the lead, so everyone who can see the lead can open them.
Add files
- 1. Open the lead. The Files card is in the column on the right.
- 2. Drop files on it, or click choose (or Add) to pick them. You can add several at once, and paste a photo straight from your clipboard.
- 3. Each file shows its progress as it uploads; Stop cancels one.
Files can be up to 25 MB each: PDFs, photos (JPEG, PNG, WebP, GIF and HEIC), Word, Excel and CSV, PowerPoint and plain text. A file is checked when it arrives, so a file that isn't what its name says is turned away.
We give each new file a Category when its name makes it clear (a "purchase agreement" is a Contract, a photo is a Photo). The categories are Contract, Disclosure, Inspection, Appraisal, Photo, ID and Other.
Open, download and organize
- Click a file to look at it. Photos and PDFs open in a preview over the page: zoom with the buttons, Ctrl and the scroll wheel or a double-click, and drag to look around. The arrow keys go to the previous and next file, and Esc closes it. Other files download.
- A file's ... menu has Preview, Download, Rename, Attach to a checklist step… (when the deal has a closing tracker) and Move to trash.
- Click a file's category to change it.
Adding a file puts it on the lead's timeline too ("Olivia added Purchase agreement.pdf"); click the name there to open it. The Files filter on the timeline shows just those entries.
Files on a closing
A deal's closing tracker has its own files under Files & notes, and each checklist step can hold the files for that step: the inspection report on "Review inspection report with buyer", say. Everything attached to the tracker or its steps also shows on the lead's Files card, marked with where it's attached.
The trash
Move to trash takes a file off the list, with Undo. The trash button on the card shows what's in the trash, with Restore. Files in the trash are deleted for good after 30 days, and a lead's files are deleted with the lead.
Storage
Each plan includes file storage for the whole workspace. Billing shows your plan's storage and how much you use under File storage on the Usage card. When you're out of room, new files can't be added until you free some up or upgrade. Files in the trash count until they're deleted for good.
Tip: Previews and downloads use a link that works for a few minutes only, so a file can't be passed around by its address.
