Saved replies and fill-ins

Write your best messages once, then drop them into any conversation with the lead's details already filled in.

Updated

Templates are the texts and emails you send again and again: a first reply, a showing confirmation, a check-in. Fill-ins like {first_name} are swapped for each lead's details when you use one, so a single template works for everyone.

Make a template

  1. 1. Open Templates. Texts and emails have their own tabs.
  2. 2. Press New template.
  3. 3. Give it a Name you'll recognize, like "Open house follow-up", and pick Send as text or email. Emails also get a Subject.
  4. 4. Write the Message. Use the Insert chips under it (+ First name, + Company and the rest) to drop in a fill-in where your cursor is. + Custom field lists your own fields.
  5. 5. Check the Preview, filled in with sample details. Texts show how many characters they use and how many texts that makes.
  6. 6. Press Save template. Everyone on your team can use it right away.

The fill-ins

  • {first_name} and {full_name}: the lead's name.
  • {my_first_name} and {my_name}: the person sending.
  • {company}: your company's name.
  • {property_address}: the lead's property address.
  • {areas}, {budget} and {timeline}: their answers to those qualification questions.
  • {booking_link}: your live booking page, or your team's if you don't host one.
  • Your custom fields, like {cf_lender}: the lead's value, written out (amounts as $450,000, dates as Mar 3, 2027).

Use a template

  • In the inbox: type / at the start of the box or after a space. Your templates for that channel appear above it; keep typing to narrow them, then press Enter or Tab to insert one. You can also press Templates under the box to search them.
  • On a lead's page: use Templates in the box where you log and send.
  • In the quick composer (Text or Email on a lead row, a pipeline card, the quick look, search or Start my day): Templates and / work the same way as in the inbox.
  • On a client request: saved replies come from the same list.
  • Booking link under the inbox box puts your booking link where your cursor is. If you don't have a live booking page yet, it says so.

Blanks

When a lead is missing a detail, the fill-in becomes a visible blank like [Preferred areas], never a raw {areas}. Fill in: chips under the box jump to each blank so you can type over it, and the message won't send until every blank is filled.

Save a message you wrote

Wrote something worth keeping? In the inbox, on a lead's page or in the quick composer, open Templates and choose Save this text as a template. The lead's name, your name, your company and the other details are turned back into fill-ins for you, so it works for anyone.

Tip: In automations and campaigns, {my_first_name} and {my_name} use the lead's owner, and a message is skipped for any lead missing a fill-in it uses, so nobody gets a message with a gap in it.
